WHO WE ARE

Phildon Group Pte. Ltd (referred to throughout as “Phildon”, “we”, “us”, “our” and “ours”) is committed to protecting and respecting your privacy. Phildon is a registered Employment Agency (EA Licence No.: 14S7192) incorporated in Singapore (UEN: 201419139N).

In line with the new General Data Protection Regulation (Regulation (EU) 2016/679) (“GDPR”) and the prevailing Personal Data Protection Act (2012) of Singapore (“PDPA”), data protection and your privacy is of the utmost importance to us. Please read our updated Privacy Policy carefully to understand our compliance measures, company policies and procedures in regards to personal data. Any data we hold will be governed by the most recent version of the Phildon privacy policy.

WHAT WE DO

Phildon is a recruitment consultancy and also an employer, which provides recruitment services to individuals (“candidates”) and hiring companies and entities (“clients”) for the purposes of employment. We also recruit and employ staff in order to provide these recruitment services to our clients and candidates alike. The exchange of personal data of our candidates and our client contacts is a fundamental part of our services, and we require a database of candidate and client personal data containing historical information, as well as current resourcing requirements as part of the recruitment process.

WHAT SORT OF PERSONAL DATA MAY WE COLLECT & HOW?

Phildon collects personal data about individuals and companies to help us provide recruitment services. This data may include information such as your name, address, email address, work experience, education history and/or certificates, nationality, visa and other “right to work” documentation, identity documentation, personal information (such as hobbies and pastimes), and other data received by us in connection with your past and/or present employment.

We may collect, and you may provide, personal data about you in a number of different ways. This includes, but is not limited to, corresponding with us by phone, email, in-person or otherwise. It includes information you provide to Phildon when you register to enter our database, attend our corporate events, or by sharing your Curriculum Vitae (“CV”) with us. We may also process information about you where it is available from public sources or third parties (including online job boards or careers websites). For example, if you have a professional profile online (such as LinkedIn) we may combine that type of information with the information you provide directly to us.

HOW DO WE STORE / USE PERSONAL DATA & WHY?

Personal data may be stored, processed and/or used to provide our recruitment services to you as a client, candidate and/or employee, or to fulfil our contractual obligations with our clients. Where we have your consent (be this orally, by email or in writing), we may use your information to send your personal information to clients in order to help you apply for jobs or present career opportunities to you directly. You have the right to withdraw your consent to processing your personal data at any time (see below). We record consent from you and your personal data on our secure cloud systems & applications, and regularly review that the
relationship, the processing and the purposes have not changed.

WHO DO WE SHARE YOUR DATA WITH & WHERE?

Where necessary, and with your consent, we shall share your personal data with our clients as part of our recruitment services (this may include third parties who process data on our behalf). Where necessary, we may share personal data with any regulatory body, insurance and/or legal advisor, pursuant to a request for information.

By engaging with Phildon, you understand that you are transferring your data outside of the EEA. Furthermore, you understand that in the course of providing recruitment services to you, we may share your personal data with our clients outside of the EEA. The sharing and transfer of any personal data is tracked via our Customer Relationship Management (CRM) system in accordance with our company compliance policies.

HOW DO YOU ENQUIRE ABOUT YOUR PERSONAL DATA?

You can make enquiries, requests to access/delete or correct your personal data, or make a complaint about an alleged data privacy breach with the relevant supervisory authority and Phildon’s Data Protection Officer, the contact details for each are as follows;

HOW LONG DO WE STORE YOUR DATA?

We will retain your data for as long as we deem reasonably necessary for us to comply with our statutory, legal and contractual obligations and to serve our legitimate business interests. If you believe we should delete your personal data at any time, please request us to do so accordingly via the contact details provided.

WHAT ARE YOUR RIGHTS?

At any point whilst we are in possession of your personal data, you have the following rights:

  • Right of access – you have the right to request a copy of the information that Phildon holds about you. In order to receive this information, we will need verification of your identity (we will accept the following:
    passport, birth certificate, and/or NRIC).
  • Right of correction – you have the right to correct your data that Phildon holds about you that is inaccurate or incomplete.
  • Right to erasure – in certain circumstances, you can ask for the data we hold about you to be erased from our records.
  • Right to judicial review – in the event that Phildon refuses your request under rights of access, we will provide you with a reason as to why. You have the right to complain as outlined below.
  • Right to object – you have the right to object to certain types of processing such as direct marketing.
  • Right to object to automated processing, including profiling – you also have the right not to be subject to the legal effects of automated processing or profiling.
  • Right to opt out – alternatively you can contact us at any time at info@phildongroup.com and if you provide us with your email address and contact details we can unsubscribe you from further contact.
  • Right of portability – you have the right to have the data we hold about you transferred to another organisation.
  • Right to restriction of processing – where certain conditions apply, you have the right to restrict the processing.

All of the above requests will be forwarded on should there be a third party involved in the processing of your personal data.
